How to stop feeling overwhelmed by your to-do list

29 October 2026 · 2 minute read

When there's too much to do, it's hard to do anything. Everything feels urgent, so you jump between tasks or freeze and do none of them. The feeling of being overwhelmed is real, but it usually comes from carrying everything in your head at once. Here's a calm way to get back on top of it.

Step 1: Get it all out of your head

Write down every single thing you're worried about getting done, big or small. Don't sort it yet, just write. Your mind is trying to remember all of it at once, and that's a big part of what makes you feel overwhelmed. Once it's on paper, you don't have to hold it any more.

Step 2: Sort it into four groups

Go through the list and put each item into one of four groups. The first is things you need to do today. The second is things that can wait for another day. The third is things that are waiting on someone else. The fourth is things you can delete, because they don't really need doing.

Most people find the "today" group is much smaller than they feared.

Step 3: Choose three things for today

From the "today" group, choose up to three. If there are more than three, ask which ones would cause a real problem if they waited until tomorrow. Everything else moves to the "later" group. It's written down, so it won't be forgotten.

Step 4: Make the first step tiny

Take the hardest of your three and write down the very first thing you'd do. Make it small enough that it feels easy, like "Find the letter from the council" rather than "Sort out the council tax". Then do that one small step now.

Step 5: Send one follow-up

Look at the things you're waiting on. If anyone has had long enough to reply, send them a short, friendly message. Each reply you get back is one less thing weighing on you.

Step 6: Stop when your three are done

When your three things are finished, the day is done. You've done what mattered most. Tomorrow, you'll pick three more from the later list.

If it keeps happening

Feeling overwhelmed every week is a sign that too much is landing on you, not that you're failing. Look at your "later" list each week and ask what you can delete, hand to someone else, or say no to next time. If the feeling is affecting your sleep or your health, talk to your GP or someone you trust.
